Moving beyond the traditional approach: How Tartu University Hospital streamlines verification and validation workflows

About Tartu University Hospital
Tartu University Hospital is the largest health care provider in Estonia. Its central laboratory encompasses units of clinical chemistry, laboratory hematology, clinical microbiology, tuberculosis, immunology, tissue compatibility, and molecular diagnostics. The laboratory also oversees the quality of genetics and personalized medicine clinic.
1 The objective
Traditional approach yielding conflicting verification and validation results
Tartu University Hospital previously relied on Excel and other free solutions for verifications and validations, which often led to conflicting results. To address this, they implemented Validation Manager to standardize and streamline the processes.

2 The solution
Streamlining and standardizing verification and validation processes

The laboratory assigned two key users for Validation Manager: one to lead and another to assist when verifications need performing. This approach ensures program proficiency and prevents knowledge gaps among the staff.
Thanks to Validation Manager’s versatility and robust compatibility with a wide range of instruments, they can transfer data directly from the instruments or the middleware, completely eliminating the risk of errors associated with manual data entry.
Furthermore, the ability to upload custom report templates into Validation Manager ensures the standardization of their verification reports.
The laboratory also leverages Validation Manager’s training sessions, learning portal, and responsive support to facilitate a smooth implementation process and pave the way for success.
3 The result
Less manual work, enhanced trust, and smoother accreditation

The implementation of Validation Manager has brought about significant improvements in their verifications and validations, notably:
- Improved accuracy, reducing manual workload
- Enhanced traceability for accreditation, fostering trust
Happy with the results, Tartu University Hospital laboratory has recommended Validation Manager to other Estonian laboratories. While mastering Validation Manager required some time and effort, it became significantly easier once they got into a rhythm. It has since proven to be a valuable tool for streamlining their verification and validation workflows. Looking ahead, they are optimistic that with regular use and growing experience, Validation Manager will further enhance their efficiency.
